LossScout Privacy Policy

1. Overview & Scope

This Privacy Policy explains how LossScout LLC ("LossScout," "we," "us") collects, uses, and shares information in connection with the LossScout platform (the "Service"). It applies to: (1) information about the businesses and individual users who create Accounts and subscribe to the Service ("Customers"); (2) information about property owners and other individuals that appears within Leads generated by the Service, which is sourced primarily from public records and licensed third-party data providers rather than collected directly from those individuals; and (3) information that prospective customers send us through our website, lossscout.com.

This policy does not apply to information Customer's own employees or representatives collect independently once a Lead is delivered — that is governed by Customer's own privacy practices, and Customer is responsible for its own compliance obligations toward any individual it contacts.

2. Information We Collect

Information about Customer accounts and users. When you create an Account, we collect your name, email address, phone number, company details, and billing information (processed by Stripe — we do not store full card numbers ourselves). We also collect information about how you use the Service: login activity, pages viewed, Leads viewed or claimed, and notification preferences.

Information within Leads. To generate Leads, we process: publicly broadcast emergency-dispatch radio audio and its transcriptions; publicly available county property/appraisal records (address, ownership, property characteristics); and, where available, additional contact and consumer-profile information from licensed third-party data providers (such as phone numbers, email addresses, estimated home value, and similar attributes), along with Do-Not-Call and litigator-list screening results on phone numbers. This information relates to property owners and occupants who are not themselves Service users — we obtain it from public sources and licensed data providers, not directly from those individuals.

Location and device information. Fire-chaser or field users may submit field notes that include photos, voice recordings, and device-reported location when confirming a property on scene.

Content you upload. Users may upload project files (for example estimates, contracts and moisture maps), task photos and notes to a claim. This content can include personal information about property owners or others; Customers decide what to upload.

Integration settings. If a Customer sets up an integration (webhook), we store its web address, settings and a record of each message we send to it, including the message itself, so the Customer can review and resend it.

Information from prospective customers. If you request early access or contact us through lossscout.com, we collect the details you enter, such as your name, company, email address, phone number, service area and message.

Cookies and website analytics. lossscout.com asks before using any optional cookies. If you accept, we use a first-party cookie, kept for up to 90 days, that records the first and the most recent link or campaign that brought you to the site (for example the referring website, campaign tags in the link, and the page you landed on), and we count page visits with a privacy-focused analytics service that does not use cookies or build profiles across other sites. If you then send us a form, the campaign source is saved with it. We do not use these cookies for advertising and do not sell or share them for targeted advertising. If you decline, or your browser sends a Global Privacy Control signal and you have not turned analytics on, none of this runs; we keep only a strictly necessary cookie that remembers your choice. You can change your choice at any time with the Cookie settings link at the bottom of every page, or open Cookie settings now. The LossScout app (app.lossscout.com) uses only the cookies needed to keep you signed in.

Communications. If you contact us for support, we retain that correspondence.

3. How We Use & Share Information

How we use it. We use Customer account information to operate and bill for the Service, deliver Leads and notifications, provide support, and improve the Service. We use the information within Leads solely to identify and deliver potential property-loss opportunities to the Customer(s) entitled to that county, including to integrations those Customers set up — we do not sell Lead data or use it for our own marketing. We use information from prospective customers to respond to them and to contact them about the Service.

Service providers. We share information with service providers that help us operate the Service, in the following categories:

Each provider receives only the information needed to perform its function and is contractually restricted from using it for its own purposes. We do not sell personal information to third parties.

Integrations a Customer sets up. When a Customer's owner or admin sets up an integration, we send the data that Customer chooses — such as Lead details, property information, owner contact details and Do-Not-Call indicators (when enabled), claim information, photos and project files — to the web addresses that Customer chooses. These may be operated by third parties such as n8n, Zapier or a CRM provider. We send this data at the Customer's direction, and once delivered it is governed by that Customer's privacy practices and those services' own policies, not this policy.

Text messaging (SMS). If you opt in to LossScout lead alert text messages, we use your mobile number only to send you those alerts and related service messages. No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with the messaging providers that deliver our messages on our behalf. You can reply STOP to any message to opt out, or HELP for help.

Legal disclosure. We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of LossScout, our customers, or the public.

Business transfers. If LossScout is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

4. Data Retention & Security

Retention. We retain Customer account information for as long as the Account is active, and for a reasonable period afterward to comply with legal, tax, and accounting obligations. We retain Lead data (including any associated contact or enrichment information) for as long as reasonably necessary to support the Customer(s) entitled to that county, after which it may be archived or deleted. Uploaded files, photos and notes, and records of integration messages, are kept until a Customer's user deletes them or for a reasonable period after the Account ends. We keep information from prospective customers until you ask us to delete it or we no longer need it.

Security. We use industry-standard safeguards to protect information, including encrypted connections (HTTPS/TLS) for data in transit, access controls limiting who can view account and Lead data, and regular backups of production data. Messages we send to integrations are signed so the receiving system can confirm they came from LossScout. Links to photos and files included in those messages open without a login for 7 days and should be treated as confidential. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Breach notification. If we become aware of a security incident affecting your personal information, we will notify you as required by applicable law.

5. Your Rights, Children's Privacy, Changes & Contact

Your rights. Customer account users may access, correct, or request deletion of their account information by contacting us. Individuals who appear within Lead data (property owners/occupants) and wish to request correction or removal of their information may also contact us; because this information is primarily sourced from public records and third-party providers rather than collected directly, some requests may need to be directed to the original source (e.g., the county appraisal district or the data provider). Depending on your state of residence, you may have additional statutory privacy rights (for example, under the Texas Data Privacy and Security Act); we will honor valid requests as required by applicable law.

Children's privacy. The Service is intended for business use by adults and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy. We may update this Privacy Policy from time to time. For material changes, we will provide notice by email or through the Service before they take effect.

Contact. Questions about this policy, or requests regarding your information, can be sent to privacy@lossscout.com.
